Privacy Policy

Account basics (name, email, password stored as a one-way hash), the profile details you choose to add (bio, specialties, city, rate, training goals, fitness level), booking and session records, ratings, messages you send through FloorPass, and, if you enable them, push notification subscriptions. Trainers may upload verification documents (ID, insurance, CPR). Clients may share health notes and an emergency contact. We also keep standard security logs (IP address, sign-in activity, errors).

Health notes are the most sensitive thing you can share with us, and they are treated that way: a client’s health flags are shown only to that client and to trainers with an active booking or accepted request with them. They are never shown to gyms, never shown in directories, and never used for marketing.

Trainers’ public profiles (name, bio, specialties, rate, badges, ratings) are visible to clients and gyms in the network. Clients are visible to their own trainers and, by first name context, on booking records. Gyms see trainer schedules for their own floor, never client details. Your email address is never shown to other users.

We do not sell your data. We do not share it with advertisers. We do not use third-party tracking cookies; the only cookie FloorPass sets is the session cookie that keeps you signed in. Anonymous, aggregate page analytics (page views, not identities) may be collected to understand usage.

FloorPass runs on Vercel (hosting) and Neon (database), both located in the United States, and uses Resend to deliver transactional email. These providers process data on our behalf under their own security commitments. Verification documents are stored in our database and are visible only to you and FloorPass administrators.

We keep your data while your account is active. To delete your account and personal data, email hello@conradthomasgroup.com from your account email and we will remove it within 30 days, except records we need to keep for legal or safety reasons (for example, signed waivers and financial records).

You can edit your profile at any time, turn push notifications on or off per device, and choose what health information to share. You are never required to share health notes to use FloorPass, though sharing relevant flags helps your trainer keep you safe.
